1. What this document covers
This page explains what happens to your information when you interact with graphixcon.com (“the Site”) or send us a message through one of our contact forms. We are a small team — there is no legal department drafting 40-page privacy notices — so we have kept this short, written it in plain language, and tried to explain the actual reasoning rather than hide behind boilerplate.
If anything here is unclear, please tell us. If you do not agree with any part of it, the contact forms and the booking link are the only paths through which your data would reach us; you can simply not use those.
2. Who is collecting the data
The Site is operated by an individual proprietor based in Burhanpur, Madhya Pradesh, India, trading as Graphixcon. We are the data controller for any personal information you submit directly to us. Where the Site links to a third-party service (Cal.com for booking, GitHub for public repositories, our social profiles), the operator of that service is its own data controller — their respective policies govern what happens once you click through.
3. What we collect when you reach out
If you fill in one of the lead forms on the Site (“Start a project” or “Request an audit”) we store the data you gave us. Practically, that means:
- your name and email address (so we can reply);
- the company or organisation you wrote down (if any);
- the kind of project you described and the rough budget range you shared;
- for audit requests, any contract addresses you paste in for us to look at;
- the message text itself;
- the URL of the page you were on when you submitted the form, so we have context for the conversation;
- basic request metadata: your IP address, user agent string, and the date and time of the submission.
We do not ask for or store payment information, government identifiers, or anything sensitive. There is no account system, so there are no passwords to lose.
4. What we collect automatically
The Site itself does not run analytics scripts, advertising trackers, or third-party cookies. Standard server logs are retained for a short rolling window by our hosting provider and are used only for security, abuse handling, and capacity planning. We do not enrich server logs with third-party services, and we do not share them.
If we ever add analytics or third-party functionality in the future, this document will be updated and the “Last updated” date at the top will move forward.
5. What we do with what you give us
What you send us, we use only to:
- read and reply to your enquiry — usually within one business day during working hours;
- keep a record of what we discussed so a colleague can pick up the thread without you having to start over;
- improve the relevance of the Site, by which we mean: if you found us through a page about a particular kind of work and you wrote us about something else, we may notice and reorder the Site so that page better matches what people actually want to talk about.
We do not sell, rent, or trade your data. We do not pass your enquiry to a marketing list, a CRM-as-a-service, or a “lead generation partner”.
6. Who else sees it
Inside Graphixcon, your message can be seen by the founders and by anyone who needs to help with the specific conversation. That is a small group.
Outside Graphixcon, the parties that may incidentally see the data are:
- our hosting provider, which stores the Site and the database behind it;
- our email provider, which routes notification emails when you submit a form or book a call;
- Cal.com, which holds the data you share when you book a discovery call (under their own privacy policy).
We require processors that we use to handle data under reasonable contractual terms. We do not use the kind of all-in-one marketing suites that pass data to dozens of unknown vendors.
7. How long we keep it
If we end up working together, your data stays in our records for as long as we have an active relationship, plus a reasonable archive window after that for tax, audit, and contractual record-keeping reasons.
If we do not end up working together, we typically keep the lead record for about twenty-four months from the last contact, then delete it. If you ask us to forget you before then, we will — see Section 9 below.
8. Security
We do our best to protect the information you submit. The Site runs over HTTPS, the database is accessible only to a small number of authorised people, and access to the CRM area is gated by strong passwords and unique user accounts. Nobody on this team logs in from publicly shared devices.
That said, no system is invulnerable. If a security incident affects your data, we will tell you in a timely way and we will tell you what we know, what we are doing about it, and what you can do to limit the impact.
9. Your choices and your rights
Depending on where you are based, you may have rights under applicable law to:
- ask what data we hold about you;
- correct data that is wrong;
- ask us to delete data we no longer need;
- object to us processing data for certain purposes.
To exercise any of these, contact us through the email address on the Contact section of the Site. We respond within thirty days. If your request is unusually complex or there is a queue, we will tell you and we will keep you updated.
10. International transfers
Because our infrastructure and our email providers are global platforms, your data may transit or be stored in countries other than your home country. We rely on standard contractual safeguards for these transfers. If you are based in the EEA, the UK, or another jurisdiction with specific transfer rules, this clause is the general notice we give about those transfers.
11. Changes to this policy
We may update this Privacy Policy from time to time. Any change will be reflected by moving the “Last updated” date at the top of this page forward. For material changes — anything that meaningfully affects how your data is handled — we will make a reasonable attempt to reach out to anyone who has corresponded with us in the prior twelve months.
Continued use of the Site after a change indicates that you have read the new version. If you do not accept the new version, the easiest response is to stop using the Site and, if you wish, ask us to delete your data.
12. Contact
If you have any question, complaint, or request related to this Privacy Policy, please use the contact details on the Contact section of the Site. We read every message and we respond. If a question is better directed at our hosting or email provider, we will tell you.
